How to Create and Edit Events

  1. Navigate to Events > Add New in your WordPress admin dashboard.
  2. Add a Title to set up the name and the URL slug for the event.
  3. Add a Banner Block to display the title of the event in addition to a quick introduction to the event and any pertinent CTAs

  1. Event Date and Time Block to use this block to define the date, time, and duration for your event.
    • Set Start and End Dates and Times for your event
    • Check All Day Event if applicable
    • Enable “Multi-Day” if the event spans consecutive days
    • Set the timezone and enable the “Show Timezone” if applicable.
    • If the event is recurring, choose your recurrence pattern:
      1. Daily, Weekly, Monthly, Custom
      2. Example: “Every 2nd Thursday of the month”
      3. Set a Recurrence End Date

  2. Write the Event Description underneath the banner block, use the content editor to include event details such as agenda, speaker info, parking, or other event logistics details.
  3. Add the Event Venue Block if the event is in-person, and you would like to include the address of this event, from the drop-down:
    • Choose an existing venue or create a new one with address/location info
  4. Add the Event Organizer Block - if applicable, select an existing organizer or create a new one with the name, contact number, and contact email.
  5. Add the Tickets block to make your event tickets available for purchase.
    • Set the name of each ticket that is being sold for this event (e.g., Member Admission, Non-Member, etc.).
    • Set the Price
    • Enter Stock/Quantity Available
    • Define the Start and End Dates for when the ticket is on sale

  1. Add a Featured Image to display on the event card and single event page.
  2. Assign an Event Category to choose one or more categories (e.g., Webinars, Annual Conference, Networking, etc.) to help with filtering and display.
  3. Click Publish to make the event live  or Save Draft if you're not ready to launch.

How to Set Event Visibility

  1. Option 1: Use the WP Private Content Plus Plugin 
  • At the bottom of the event page, restrict access to certain roles:
    1. Everyone
    2. Guests
    3. Members
      1. If selected, only users with an account will see this event instead of the public. 
      2. A tag called “Members only”  will appear on the event card in the events calendar 
    4. Selected user roles
      1. A list of user roles pulled from the MDP and WordPress’s user types will be displayed. Check all that applies.
    5. Selected users
      1. Enter the names of the users who should be allowed to see this event.

  1. Option 2: Hide the event in the event calendar
    • Under the event options, you can check “Hide Event from Event Listings” so that it no longer accessible from the events calendar. This is useful when looking to send the link to the event to a select view instead of the public.

  1. Option 3: Schedule a Publish Date
    • Instead of publishing immediately, set a future date and time
    • Click “Publish” and WordPress will auto-release the event at that time

How to copy a past event or set up an event template

If you need to re-use a past event structure, there are two options available, depending on whether you're working from an individual event or creating a reusable layout for future use.

  1. Option 1: Duplicate and Modify the copied event
    • Go to Events > All Events
    • Hover over the event you want to reuse
    • Click “Duplicate” 
    • A draft version of the event will be created
    • Edit the title, date, tickets, and any content-specific to the new event
    • Click Publish when you’re ready
  2. Option 2: Use Patterns to set up an Event Template

Use this when you want to re-use a specific layout of blocks (e.g., Banner, Event Details, Venue, Tickets) across many events.

  • To create a pattern:
    1. In any event, highlight the blocks you want to reuse
    2. Click on the “⋮” (three dots) on the selected block group
    3. Choose “Create pattern”
    4. Give your pattern a name (e.g., “Standard Event Template”)
  • To use the pattern in a new event:
    1. In the block editor of a new event, type / followed by the name of your pattern
    2. Example: /Standard Event Template
    3. Click your pattern from the list to insert it
    4. The inserted blocks will appear with a purple outline
      1. This indicates the blocks are still linked to the original pattern
  • To make event-specific edits (without affecting other patterns):
    1. Click the “⋮” on the outer edge of the pattern block group
    2. Select “Detach Pattern”
    3. You can now modify the blocks freely without impacting the original pattern or other events using it
